SHIPPING ITEMS TO THE EVENT

The hotel will accept materials beginning Monday, September 22nd, 2025.

Packages that arrive early may be subject to additional storage fees per FedEx’s policy.

All exhibitors should set up a FedEx shipping account if they do not already have one.

LABELING

In order to avoid confusion or misplaced materials, all items being sent to the venue should clearly be labelled using the Exhibitor Shipping Label Standards to the left. Please include:

  • The name & number of the person who will be on site to receive the package
  • SPC Advance 2025
  • Ensemble ABC
  • Your Company Name
  • Booth Number
  • Box Numbers

PACKAGE HANDLING FEES & SHIPPING FORM

  • The Hotel has an exclusive agreement with FedEx to operate their loading dock, including shipping, receiving and storage of all packages, boxes and crates. Packages or materials of excessive weight or value must be approved for receipt by the Hotel prior to shipping. All inbound and outbound packages will incur handling charges. Please refer to the FedEx Shipping Instructions document on the process and current fee schedule.
  • If anyone would like to prearrange delivery and pick up they can complete the HC PM Credit Card Authorization form. This MUST be dropped of in person when you go to collect your packages, as FedEx cannot accept a completed from via e-mail or fax. If any arrive other than in person they are required to immediately shred it. 
  • We highly recommend you have this filled in and ready to hand in when you go to the FedEx Office for pick up to speed up your package delivery.

ARRIVAL & SETUP

When you arrive to setup…

  1. Go straight to the FedEx office on Floor 3 to pay for your packages then head to the Exhibit Hall (Ensemble ABC on the 2nd floor)
  2. FedEx will deliver your packages to your booth
  3. If you need to store anything please go to Center Stage Room

FedEx Office is not authorized to leave packages unattended in meeting rooms. Exhibitors will need to sign for the delivery and approve any charges for handling and delivery fees.

SHIPPING ITEMS BACK FROM THE EVENT

SHIP OUT

Shipments need to be 100% ready for shipping out by the Exhibitor Move Out Time between 11:00AM – 3PM on Wednesday, October 1st, 2025. 

A FedEx Office Team member will be in the Exhibit Hall to assist with outbound packages. During this time, shipping supplies will be available to support all of your packaging & shipping needs.

 

FOLLOW THESE STEPS TO EXPEDITE PROCESSING OF YOUR PACKAGES

  1. Create an outbound shipping label and be sure to include a FedEx account number, as well as your personal or business return address and not the address of the property. Please note: Outbound handling fees are applied to all packages, regardless of carrier, and are assessed in addition to the shipping/transportation charges.
  2. Ensure all of your packages are properly sealed.
  3. Affix the label to each outgoing package.
  4. Take your package(s) to the FedEx Office business center.

Once you have completed the steps above, FedEx Office will process your package(s) into the FedEx Office Package Tracking System and securely store them until released to the carrier. Retain your tracking number(s) and you’re all set!
